FSA is a national professional association of values-aligned organizations that serve older adults. We are currently seeking an Administrative Assistant for our Compliance and Risk Management department, located in Blue Bell, PA.

The successful candidate will be responsible for providing administrative support for the Vice President of Compliance and Risk Management as well as the Compliance program. This position is responsible for coordination of schedules, meetings and conferences, contract management, working on special projects, and handling highly confidential and sensitive information and projects.

Key Responsibilities:

  • Provide ongoing administrative support to Vice President of Compliance and Risk Management and Compliance program including general correspondence, preparing reports, scheduling of board meetings, webinars and conferences, and acting as an overall liaison and point of contact utilizing a customer-centric approach.
  • Perform general administrative and clerical duties such as organizing, filing, photocopying and scanning of documents; writing and distribution of emails, memorandums, letters and similar documents.
  • Attend and record/distribute minutes for Compliance and Risk Management meetings.
  • Coordinate internal and external meetings and support materials for consulting and program work by Vice President of Compliance. Includes scheduling, catering and communication.
  • Manage contracting process for Compliance and Risk Management programs, including tracking, file maintenance, coordination of billing and changes in contractual relationships and communication with staff.
  • Coordinate webinars, including scheduling and notifications and distribution of related materials.
  • Proofread and format reports, presentations and materials initiated by Compliance and Risk Management team. Distribute reports as directed through electronic systems, including member database. Track reports and subsequent follow-up documents as needed.
  • Use member database to maintain accurate client directory information.
  • Assist with the production of regularly scheduled Board reports.
  • Participate with FSA administrative staff in phone coverage/front desk rotation schedule in order to ensure organization-wide coverage during office hours.
  • Maintain confidentiality of all information, including compliance with HIPAA regulations and standards.

Qualifications:

  • Bachelor’s degree preferred
  • 3+ years of executive admin experience
  • Proficient in MS Office (PowerPoint, Word, Excel)
  • Customer service oriented
  • Strong written and verbal communication skills as well as strong attention to detail required
  • Time management and organization skills required
